Description

Overview: The Student Services Secretary plays a vital role in ensuring the smooth operation of the high school. This position involves managing various administrative tasks related to student enrollment, records, academic ceremonies, and graduation events. This position also facilitates communication between students, parents, staff, and external entities, ensuring efficient coordination of services.

 

Compensation: Starting wage is $13.85/hour, with increases based on experience and education according to the classified salary schedule. Single paid health insurance included. KPERS-covered position. District 403(b) matching contribution. 

 

Qualifications and Skills:

  • High school degree
  • Working knowledge of Microsoft Office and Google Suites
  • 3-5 years of school office experience preferred
  • Experience utlizing student information systems, specifically Skyward, preferred
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Attention to detail
  • High level of professionalism and courtesy
  • Ability to maintain confidentiality of student records and information

Essential Job Functions:

  • Enrollment Management:

    • Process incoming enrollment of new students, including collecting required documentation and entering data into the student information system.
    • Transcript and Academic Records Management:
  • Manage transcript requests and reports, maintaining accurate records of student academic achievements and progress.
    • Respond to requests for student records from other school districts, ensuring timely and accurate transmission of information.
    • Oversee student records as a part of NCAA clearinghouse, ensuring compliance with eligibility requirements.
  • Academic Event Coordination:

    • Plan and organize graduation events and activities, working closely with students, parents, faculty, and staff to ensure memorable and successful ceremonies.
    • Coordinate and communicate about academic awards ceremonies with students and parents, ensuring smooth execution of events
  • Data Coordination and Reporting:
    • Coordinate KIDS count information as requested by District Student Information Specialist, ensuring accurate reporting of student demographic data.
    • Produce state reports as needed, compiling and analyzing data related to student enrollment, attendance, and academic performance.
  • Calendar Management:

    • Manage calendars of assigned administrators, scheduling appointments, meetings, and events as required.
  • Other Duties:

    • Perform other duties as assigned by the student services department or school administration, contributing to the overall efficiency and effectiveness of student support services.

Physical Requirements:

  • Prolonged periods of sitting at a desk
  • Must be able to lift up to 20 pounds at times
  • Mobility to move around the school campus to attend meetings, events, or assist students and staff as needed.
  • Visual and auditory acuity to effectively communicate and interact with students, parents, and staff.
  • Stamina and flexibility to work occasional evenings or weekends for special events at the request of administration.
