Description

The Piper School District has an anticipated opening for a MIS & Medicaid Specialist July 1, 2025. Interested applicants should complete the online application and include a letter of interest, resume, and three current references (including a current supervisor). Compensation: $60,000 - $65,000 per year, commensurate with education and experience. Fully paid employee-only health insurance. KPERS-covered position. $40/month 403(b) match.

Terms of Employment: 12-month Contract

 

Job Summary:

To manage and maintain student data for the special education department, ensure compliance with state and federal regulations, and oversee Medicaid reimbursement processes for special education services.

 

Essential Funcions:

  • Collect, enter, and verify student data across multiple databases (e.g., Access, Bright Sped, SILK, Skyward, Edulog, KIDS Assignment System, WebNow).
  • Manage student records, including movement within, into, and out of the district.
  • Ensure accuracy and completeness of Individual Education Plans (IEPs) and supporting documentation.
  • Assist in reviewing, maintaining, and storing special education paperwork in compliance with confidentiality laws.
  • Oversee policies and procedures related to School-Based Medicaid services for eligible students.
  • Interpret and analyze information systems to identify students with billable services and verify Medicaid eligibility.
  • Obtain and maintain informed parental consents for Medicaid billing and secure physician referrals as necessary.
  • Act as liaison with external billing agencies and school districts, ensuring proper documentation and compliance with contracts.
  • Train and support staff regarding Medicaid billing processes, special education data entry, and compliance requirements.
  • Respond to audit requests from state and federal agencies, providing required documentation and justifications.
  • Assist school districts in maintaining Local Education Agency Kansas Medicaid Provider status.
  • Compile, analyze, and prepare reports on special education data for administrators and compliance monitoring.
  • Gather and enter data for Kansas State Department of Education compliance indicators and Individuals with Disabilities Education Act (IDEA) reviews.
  • Conduct periodic evaluations of IEP files to ensure compliance with special education laws and provide feedback to case managers.
  • Monitor compliance of service providers regarding provision of IEP services and Medicaid documentation.
  • Manage School District Administrative Claiming (SDAC) functions, including data collection and reporting.
  • Oversee compliance with Random Moment in Time Studies (RMTS) for SDAC, ensuring staff participation.
  • Organize and analyze Special Transportation student use data for SDAC reimbursement.
  • Maintain records and documentation for a minimum of seven years from payment of services.
  • Assist with preparing and analyzing graduation documentation for students with disabilities.
  • Assist with reconciliations and requisitions for special education spending. 
  • Collect and analyze data for state and federal parent survey requirements.
  • Perform other duties as assigned by the Director of Student Services.

 

Qualifications:

  • High School Diploma required (Associate’s or Bachelor’s degree preferred).
  • Proficiency in Microsoft Office applications (Word, Excel, Access, Google Sheets and database management systems.
  • Experience with student enrollment and special education software systems 
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to manage multiple tasks efficiently and maintain attention to detail.
  • Excellent verbal and written communication skills.
  • Knowledge of laws and regulations related to student data confidentiality (e.g., FERPA, HIPAA).
  • Ability to work independently and collaboratively with various departments and external agencies.

 

Physical Requirements:

  • Ability to sit for extended periods and perform computer-based tasks.
  • Manual dexterity to operate standard office equipment such as computers, printers, and telephones.
  • Ability to lift and carry up to 25 pounds for occasional file maintenance and office supply handling.
  • Vision and hearing abilities sufficient to perform essential job functions.
  • Mobility to move within the office environment and to attend meetings in various locations within the school district.
  • Stamina to work occasional evenings or weekends as needed for special events or projects.
